1. About this policy
Saventa Schedule ("we", "us", "our") is a workforce rostering product operated by Saventa Pty Ltd, based in Queensland, Australia, available at schedule.saventa.com.au. This policy explains how we collect, hold, use and disclose personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
2. What we collect
To provide Saventa Schedule, we collect:
- Account and organisation details — name, email, role and billing contact for the organisation subscribing to the service;
- Staff roster data — names, contact details, job roles, skills and qualifications, availability, and leave records entered by an organisation to build its rosters;
- Shift and schedule data — assignments, shift swaps, hours worked, and rostering history;
- Usage data such as device type, browser and log data, to keep the service secure and reliable;
- Billing details if you subscribe to a paid plan (processed by our payment provider — we do not store full card numbers).
3. A note on whose data this is
Saventa Schedule is typically set up and administered by an organisation (the "Customer") to roster its own staff. If you're a staff member whose shifts are managed through Saventa Schedule, your employer is the account holder and remains primarily responsible for that data — we process it on their behalf, to provide the rostering service they've engaged us for. Roster corrections, availability updates or leave records should generally go through your employer first; you're welcome to contact us directly for anything specific to how Saventa handles your information on the platform.
4. How we collect it
We collect personal information directly through the Saventa Schedule platform — via account setup, roster and staff data entered by an organisation's administrators, and staff self-service actions like shift swaps or availability updates. Basic analytics cookies on our marketing website help us understand visitor traffic; these do not identify you personally, and can be disabled in your browser settings.
5. Why we collect and use your information
We use personal information to:
- Build, publish and maintain rotating staff rosters;
- Detect coverage gaps and apply fatigue and compliance rules to rostering decisions;
- Enable shift swaps, leave requests and availability updates between staff and managers;
- Provide customer support and respond to enquiries;
- Administer billing, and comply with our legal obligations.
We do not sell, rent or trade personal information, and we do not use roster data to train AI models.
6. Disclosure of your information
We may disclose personal information to trusted service providers who help us run Saventa Schedule — including cloud hosting and data storage — strictly to deliver the service, and under appropriate confidentiality arrangements. Roster and hours-worked data may be exported by an organisation for its own payroll purposes; we do not otherwise share this data with payroll or HR providers unless an organisation sets up that connection itself. Some providers may process or store data on servers located outside Australia (for example, in the United States); where this occurs, we take reasonable steps to ensure they handle information consistently with the APPs. We only share roster or staff data with third parties beyond this where required or authorised by Australian law.
7. Storage, security and retention
Data is encrypted at rest and in transit, with access controls in place to protect it from misuse, interference, loss, unauthorised access, modification and disclosure. We retain roster and staff data for as long as the organisation's account is active, plus a reasonable period to meet record-keeping obligations (such as award or fatigue-management record requirements), after which — or upon request — data is securely deleted or de-identified.
8. Access and correction
Staff can generally view and update their own availability and shift details directly within Saventa Schedule. For anything else, you may request access to or correction of the personal information we hold by contacting us using the details below, or your organisation's administrator. We will respond within a reasonable period (usually 30 days), free of charge.
9. Complaints
If you believe we have breached the APPs, please contact us first and we will investigate and respond within 30 days. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or by calling 1300 363 992.
10. Notifiable data breaches
If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the OAIC in accordance with the Notifiable Data Breaches scheme under the Privacy Act.
11. Changes to this policy
We may update this policy from time to time. The current version will always be available within Saventa Schedule and on this website, with its effective date shown above.
